Automate the Activities Using Odoo 17 CRM Module

A full view of clients and their interactions is provided by Odoo 17 CRM through integration with corporate software, which facilitates cost savings and improved company decision-making. It improves customer service and helps make economical business decisions by keeping track of previous bids, orders, invoices, email marketing campaigns, and client meetings. Odoo CRM enables businesses to send quotes, automate SMS marketing campaigns, remember attendees, reach visitors, acquire leads, and provide support through various channels. It also supports all communication methods, including manual and marketing automation apps. The platform offers help through live chat, WhatsApp, emails, VOIP, and web conference calls to provide successful lead management and efficient communication. It also allows online scheduling, SMS reminders, and built-in lead enrichment.

The recently released Odoo 17 CRM Module offers several automated features, such as Lead Scoring, which assigns a score automatically.

Activity Types in Odoo CRM and How to Automate Them

Activities are the things you have to do to complete a process. The activity feature in the Odoo 17 CRM Module makes it possible to schedule different customer actions across all sales and customer management modules. With the addition of the “Activity Types” option to the “Configuration” menu, configuring various activity types is now simple.

All of the activities are displayed in a list format along with details like their “Name,” “Default Summary,” “Planned In,” and “Type.”

To create and manage a new activity, click the “New” button, as seen in the screenshot above.

The activity name can be changed in the “Name” box within the form view that is presented. You can find a range of helpful activities for a commercial enterprise in the “Action” section, including “Upload Document,” “Meetings,” “Phone Call,” “Request Signature,” “Grand Approval,” “Reminder,” “Tax Reports,” and so on.

Establishing an Automated Task After uploading a document, you can set the “Action” to “Reminder” in the Activity Setting section, see trigger-specific behavior, have the activity automatically marked as completed, and apply your “Default User” name and “Default Summary” to the activity.

Within the “NEXT ACTIVITY” Tab, you have the option to select “Suggest Next Activity” or “Trigger Next Activity” as the “Chaining Type” action. You can suggest the next action in a field that appears when you select the mandatory “Next Activity” option. Odoo will then present the previously designated action after the current one has been finished and marked as done. The following activity can be entered in the “Trigger” section for the “Trigger Next Activity.” When the current activity ends, Odoo will initiate the next one automatically. Once this activity has been scheduled with the concerned customers, you can put email templates in the “Email Template” area to be used for sending emails to them.

You can enter the deadline for the action in the “Schedule” column. You can specify here the number of days, weeks, or months that need to elapse until this task is completed.

The steps listed below will help you establish new activity kinds in Odoo with ease.

Upon completion of the action indicated in the “Action” box, the trigger activity will then be carried out automatically. You can create an activity directly from the Kanban view of the Opportunities arranged inside the “My Pipelines” window, in addition to using the “Configuration” option.

All the leads that are currently available in your pipeline are listed in the Kanban view of the Pipeline window. Each lead is categorized into one of four groups based on its stage: “New,” “Qualified,” “Proposition,” and “Won.” As seen in the image below, we can view the data for each pipeline separately from their Kanban view.

Opportunity, Phone, Contact Name, Revenue, Priority, Tags, and so forth are some examples of these data items.

To schedule an activity related to a pipeline, click on the activity icon that appears inside the Kanban view of that pipeline. Simply select “+Schedule an activity” from the pop-up wizard’s menu. When a wizard form for the scheduled activity opens, users can add details and utilize the summary option to explain the activity. Another option is to designate a representative along with a deadline.

The schedule’s “Activity Type,” “Due Date,” “Assigned to,” and “Summary” must be provided. Once the procedure is finished, you may examine an activity by going to the pipeline, where you can view the activity that is scheduled for today by selecting the clock icon. In the CRM, users may see every activity that is scheduled, giving them access to every piece of information.

A dropdown window will appear when you click the pipeline’s activity icon. The “Done” option is located beneath the Schedule Activities section. Select it to mark an activity as done and check for plans. You can add feedback by using the “Write feedback” section. To mark the task as completed, click the “Done” button. Using the “Done & Schedule Next” option, you may also plan the following task. Activities Reporting

Additionally, Odoo offers a thorough reporting system for analyzing your activity. As shown in the figure below, users may easily monitor business processes, including leads, on the Y-axis of a graphical view by selecting the “Activities” option in the Odoo 17 CRM module.

Activity Plans

Companies or managers may occasionally need to complete certain procedural stages to complete a task or procedure, such as employee onboarding, offboarding, establishing a new project, generating quotations, sales transactions, or any other organizational activity.

The “Activity Plans” option in the “Configuration” menu of the Odoo 17 CRM module allows users, employees, and sales teams to set up distinct activity plans for a range of CRM-based tasks. The “Activity Plans” window displays the predefined plans.

An overview of the activity plan name, steps count, and department will be provided by this dashboard. By selecting the “New” button, you can make a new activity plan for a task or activity.

Here is where I have created a lead strategy for creating a new quotation. Therefore, to complete or start a new quotation, we must complete the actions listed in this Activity Plan.

Edit the “Plan Name” field and enter the “Company” to identify the activity plan. By selecting the “Add a line” button, we can add more activities to the “Actions To Generate” tab area to complete the entire plan. Select the “Activity Type” that you want to use and modify the activity’s “Summary.” The activity’s assignment type can be specified in the “Assignment” column, and the person in charge can be identified in the “Assigned To” section. Then include any “Notes” that you may have about the task.

Several steps might be created based on your task or needs. following the new Activity plan data’s saving. The “Activity” icon that appears on the Kanban card of a quote or pipeline within the CRM Module can be used to establish a new activity with the newly formed plan.

Using the “+Schedule an activity” button, we can choose a Pipeline and set a time for an activity.

The form for scheduling activities will seem like the example below.

Here, we must choose the activity plan from the list inside the “Plan” column and enter the “Plan Date.”  The plan summary will appear under the “Plan Summary” section, and you can change the “Assigned To” box to reflect the needs of your organization. Click “Schedule” once the activity has been confirmed. The specifics of the scheduled activity will be displayed inside the chatterbox area as seen below. You will be sent to the quotation configuration form page.

The specific quotation’s kanban view will also provide a summary of the task, allowing you to indicate any additional stages and carry out the action.
